Election & Duties of Kappa Psi Officers

Elections
The election of officers shall be held no later than one week prior to the conclusion of the Spring semester, and these officers shall assume office upon conclusion of the Spring semester.

Before any election each member shall be given a job description of each office.

Each nominee must be willing and able to perform and adhere to the requirements in the job description before accepting nomination for that office.

All candidates for office must be members of Kappa Psi, and be in good standing.

All nominations shall be made no later than the chapter meeting prior to elections.  Any active member may present a nominee for an office.

Vote shall be cast by secret ballot.  A plurality of the votes cast shall determine the new officer.

If an officer is unable to meet the requirements of their office for any reason, they must notify their advisor who will delegate their duties to another member in good standing until such time as they can resume them.  If unable to resume the duties of the office, the officer must resign the position for which they were elected.  When an officer must resign his office, an election shall be held to elect a new officer.

Officers
All officers shall be active members in good standing and are required to attend all chapter meetings or delegate duties to another member or officer as appropriate in event of advisor excused absence.  All officers are required to participate in recruiting eligible students.

The Kappa Psi chapter of Phi Theta Kappa shall have the following officers:  President, Secretary, Historian/Photographer/Yearbook, Newsletter/Reporter/Webpage, Student Government Association Member, Vice President of Fellowship, Vice President of Leadership, Vice President of Scholarship, and Vice President of Service.

PRESIDENT
The President shall be the chief executive officer of this chapter, and the duties shall be:

• preside at all business meetings with prepared agenda
• appoint and establish any necessary committees and name the chairman thereof
• vote only in case of a tie
• serve as ex-officio member on all committees and determine that purpose is fulfilled
• present business to the organization
• properly represent the organization at all times
• appoint a committee to review and/or revise the chapter bylaws annually
   

VICE-PRESIDENTS
The Vice-Presidents shall perform duties as assigned by the President.  Perform all the duties of the President in the event of absence.  The duty follows this order:  Vice President of Leadership, then Vice President of Fellowship, Vice President of Scholarship, and Vice President of Service.

The Vice-Presidents shall:

• act as Chapter program director for their hallmark
• keep a record of all members participating in each of their hallmark functions
• direct the study efforts of the Chapter in accordance to the international study topic
• draft and submit press releases to the college public relations department and campus newspaper for distribution to all area newspapers or directly to same
• submit to Secretary, Reporter, Historian, Advisors and Regional Coordinator reports of their hallmark functions
• prepare the award entries for their hallmark for regional & international competition
   

SECRETARY
The Secretary shall:

• take minutes of all meetings and e-mail to general membership and advisors
• maintain the binder of all the minutes of the business meetings
• maintain the files on Chapter correspondence
• submit reports of chapter activities to Advisors, Regional Coordinator and International Headquarters
   

HISTORIAN/PHOTOGRAPHER/YEARBOOK
The Historian/Photographer/Yearbook officer shall:

• collect and keep all pertinent items for the chapter scrapbook
• supervise the preparation of the chapter yearbook for posterity and regional competition
• supervise the preparation and submission of the yearbook award entry

REPORTER/WEBPAGE
The Reporter/Webpage officer shall:

• keep a full record of chapter functions
• draft and submit press releases to the campus newspaper concerning chapter meetings and important events before the submission deadline for every issue
• draft and submit press releases to the college public relations department for distribution to all area newspapers or posting on the marquee
• update the webpage as needed
   

STUDENT GOVERNMENT ASSOCIATION REPRESENTATIVE
The Student Government Association Representative shall:

• represent the Chapter at all the Student Government Association meetings on Mondays @ 5:00 p.m.
• keep the Chapter informed of activities at Student Government Association meetings
• present chapter funding requests to Student Government Association before deadlines
